Job Title: Administration Coordinator

Overall Responsibility

The Administration Coordinator is responsible for supporting the Nile Project team with general administrative tasks including human resources, procurement, travel, finance, and office maintenance.

Specific Responsibilities

  • Maintain CEO’s calendar and support with donor and partner communications
  • Prepare and modify English and Arabic correspondence, reports, drafts, memos and emails
  • Supports Finance Manager with general accounting needs
  • Research and purchase flights, ground transport, and accommodation according to program needs
  • Complete procurement process according to organization guidelines
  • Supports program staff with visa applications and government communications
  • Assist with hiring process by posting jobs, logging applications, reviewing resumes, screening applicants, collecting paperworks, etc.
  • Provide orientation for new employees on logistics and administrative issues
  • Track submission of completed staff timesheets
  • Ensure proper filing of all paperwork
  • Maintain office equipment and supplies inventory
  • Ensure office organization and cleanliness

Skills & Qualifications

  • Bachelor degree in business administration, accounting or finance
  • Minimum 4+ experience in NGO accounting with complex budgeting and multiple programs
  • Practical knowledge of Egypt’s financial and legal systems pertaining to both companies and NGOs
  • Experience with working in multinational organizations or international donors a plus
  • Strong Familiarity with Google Apps and Microsoft Office
  • Strong organizational skills and keen attention to detail
  • Demonstrated expertise and experience coordinating office environments
  • Responsible and accountable
  • Self-motivated and can work with minimal oversight
  • Great communication and organization skills
  • Fluent in English and Arabic required
  • Egyptian national

Reporting

The Administration Coordinator will report to the Nile Project CEO. Reporting tools will be agreed upon in the beginning of his/her mandate.
